How quickly can my child start therapy?

Most families book their first appointment within 1–2 weeks. Browse available therapists, check their calendar, and book a time that works — no long waitlists.

What types of therapy are available?

Occupational Therapy (OT), Physical Therapy (PT), and Speech-Language Pathology (SLP) for children and young adults ages 0–21. Therapists offer in-home, in-community, and telehealth sessions.

For every billable session — evaluations, treatment sessions, and parent consult sessions — you pay your therapist's clinical rate (which they set) plus one flat $11.99 ViaThera booking charge, the same $11.99 no matter the length, type, or discipline, and whether you're paying privately or using commercial insurance. Standard card processing (2.9% + $0.30) is a separate line at checkout. Medicaid (Health First Colorado) sessions have a $0 booking charge. You'll see the exact total before you confirm.

Why is there a ViaThera booking charge?

Therapists keep 100% of their clinical rate — ViaThera never takes a cut. The flat $11.99 booking charge covers secure payment processing, therapist matching and scheduling technology, documentation tools, platform support, and our global mission programs. Card processing (2.9% + $0.30) is passed through as its own checkout line. There are no other fees — no monthly subscription, no surprises.

What payment methods do you accept?

Credit and debit cards, HSA/FSA cards, ACH bank transfers, Apple Pay, and Google Pay. All payments are processed securely through Stripe® — ViaThera never stores your payment information.

Can I use my HSA or FSA card?

Accepted Answer

Yes. Pediatric OT, PT, and SLP are typically eligible HSA/FSA expenses. Use your HSA/FSA card at checkout like any other payment method. After every session, ViaThera auto-generates an itemized superbill suitable for IRS substantiation if your plan administrator requests one. Final eligibility depends on your specific plan.

When am I charged?

We authorize your card when you book to hold the appointment time, then capture the charge once your therapist confirms the session. If a session is cancelled before confirmation, the hold is released — you are not charged.

What is your cancellation policy?

Cancellations more than 24 hours in advance are free. Cancellations within 24 hours of the session are charged 50%. No-shows or cancellations within 2 hours are charged the full session amount.

ViaThera itself never bills insurance or acts as a billing agent — we're a marketplace, not a clearinghouse. Therapists who are credentialed with your plan or Colorado Medicaid bill it directly under their own NPI.

What is a superbill?

A superbill is an itemized medical receipt with CPT codes, ICD-10 diagnosis codes, your therapist's NPI, and everything your insurance company needs to consider out-of-network reimbursement. ViaThera generates one automatically after every session.

How much can I expect insurance to reimburse?

It depends entirely on your specific plan. Many PPO plans reimburse 40–80% of out-of-network pediatric therapy after your out-of-network deductible is met. Call your insurance company and ask about your out-of-network benefits for occupational, physical, or speech therapy.

Yes. Many therapists are individually credentialed with commercial payers and Colorado Medicaid and bill directly under their own NPI. Ask your therapist which plans they accept, or filter the directory by plan. ViaThera supports them with documentation and claim tracking but is never involved in submitting or processing those claims.

Yes — research shows telehealth can be just as effective as in-person therapy for many goals, especially speech-language therapy, handwriting/fine motor skills, and many OT and PT goals. It works best with active parent involvement, a quiet space, and a reliable internet connection. Your therapist will help you decide what mix of telehealth and in-person works best for your child.

How do I reschedule or cancel a session?

Reschedule or cancel from your parent portal. Cancellations more than 24 hours in advance are free; less than 24 hours is charged 50%; less than 2 hours or no-shows are charged in full.

How do telehealth sessions work?

ViaThera uses secure, HIPAA-compliant Google Meet sessions. When it's time for your session, click "Join Session" in your parent portal — no downloads needed.

What can I see in the parent portal?

Your parent portal shows your child's therapy goals, progress updates, session history, upcoming appointments, session notes, and home exercise programs assigned by your therapist.

Can I message my therapist between sessions?

Yes. ViaThera includes secure, HIPAA-compliant in-platform messaging. All therapist-family communication stays in the platform to maintain a complete clinical record.
